TennisMate Australia (“TennisMate”, “we”, “us” or “our”) values your privacy.

This Privacy Policy explains how we collect, use, store and disclose information when you use TennisMate, including our:

• website;
• web application and Progressive Web App (PWA);
• iOS application; and
• Android application.

This policy also explains the choices available to you regarding your personal information.

We collect information that is reasonably necessary to provide, operate, secure and improve TennisMate.

When you create a TennisMate account, we may collect:

• name or display name;
• email address; and
• authentication information required to operate your account.

Authentication is managed using Firebase Authentication.

Information you provide when creating or updating your TennisMate profile may include:

• postcode;
• suburb;
• gender;
• date of birth or birth year;
• tennis skill level;
• biography;
• profile photo;
• tennis club or club name;
• preferred playing times; and
• availability.

Certain profile information may be visible to other TennisMate users as part of player discovery, matching and other community features.

TennisMate does not request access to your device's precise GPS location for player matching.

Location-based features use information such as the postcode or suburb you provide.

This information may be used to identify relevant players, clubs, courts, events or other tennis opportunities in your area.

We may collect information generated through your use of TennisMate, including:

• match requests;
• connection requests and responses;
• match results;
• match history;
• player statistics;
• TennisMate activity or progression information;
• event registrations;
• availability information; and
• other activity associated with TennisMate features.

We use this information to operate TennisMate features and improve the player experience.

Messages sent through TennisMate are stored to provide in-app communication between users.

Chat messages may be retained while the relevant accounts remain active.

If an account is deleted, associated personal information and messages are deleted or anonymised as part of our account deletion process.

You may choose to upload or take a profile photo within TennisMate.

TennisMate may request permission to access your:

• camera; or
• photo library.

These permissions are optional and are only used when you choose to perform an action that requires them.

TennisMate does not access your camera or photo library for unrelated purposes.

TennisMate may use push notifications to provide information such as:

• match requests;
• messages;
• match updates;
• event information;
• reminders; and
• other service-related notifications.

Notification services may involve device notification tokens and related technical information required to deliver notifications.

You can disable push notifications through TennisMate where available or through your device settings.

We may collect information that you provide when interacting with support, safety or feedback features, including:

• support requests;
• player reports;
• blocking information;
• survey responses;
• product feedback; and
• other information you voluntarily provide to TennisMate.

This information may be used to respond to enquiries, investigate reports, maintain the safety of the TennisMate community and improve the service.

TennisMate uses analytics and performance tools to understand how the service is being used and to improve its reliability and performance.

Information collected may include:

• device type;
• operating system;
• browser type;
• application version;
• pages or screens viewed;
• feature interactions;
• usage events;
• performance information;
• technical identifiers; and
• other similar usage information.

Analytics information may include pseudonymous identifiers such as an internal user ID.

TennisMate reporting dashboards are primarily used to analyse aggregated activity and performance. Our reporting dashboards do not display user names or email addresses, although pseudonymous identifiers such as user IDs may be present within underlying reporting data.

TennisMate does not currently provide an in-app setting to opt out of analytics collection.

We may use information collected through TennisMate to:

• create and manage your account;
• provide and maintain your TennisMate profile;
• help you discover suitable tennis players;
• match players based on factors such as location, skill level and availability;
• allow players to connect and communicate;
• organise and record tennis matches;
• provide events and community features;
• provide player statistics, activity and progression features;
• provide notifications and service communications;
• respond to support enquiries;
• investigate player reports, misuse or safety concerns;
• prevent fraud, abuse and unauthorised activity;
• monitor platform reliability and technical performance;
• understand how TennisMate is used;
• improve existing features;
• develop new features and services; and
• comply with applicable legal requirements.

We do not sell your personal information.

TennisMate currently uses email for service-related and transactional communications, including:

• email verification;
• password resets;
• security-related notifications;
• account-related communications; and
• important service notices.

TennisMate does not currently use account email addresses for general marketing newsletters or promotional email campaigns.

TennisMate may offer paid events or other paid services.

Where a payment is required, payment processing is handled through Stripe or another nominated payment provider.

TennisMate does not receive or store your full payment card details.

The payment provider collects and processes payment information through its own payment systems and in accordance with its own privacy and security practices.

TennisMate may receive or retain limited transaction information necessary to administer a booking or payment, such as:

• payment status;
• amount paid;
• transaction reference;
• event or booking information; and
• related transaction history.

TennisMate relies on third-party technology providers to operate the service.

These currently include:

We use Google Firebase and Google Cloud services for functions including:

• Firebase Authentication;
• Firestore database services;
• cloud storage;
• application hosting and infrastructure;
• Firebase Cloud Messaging;
• Firebase Analytics;
• Firebase Performance Monitoring;
• BigQuery; and
• related platform services.

We use Looker Studio for internal reporting and analytics.

Reporting is primarily designed to show aggregated TennisMate activity and trends. Reports do not display users' names or email addresses, although underlying reporting information may contain pseudonymous user identifiers.

We use Vercel for parts of our web application infrastructure and services including:

• web hosting;
• Vercel Analytics; and
• Vercel Speed Insights.

We use GoDaddy for website-related services, including website analytics.

Apple services may be used in connection with distribution and operation of the TennisMate iOS application and delivery of iOS notifications.

Google Play and related Google services may be used in connection with distribution and operation of the TennisMate Android application.

Where paid TennisMate services or events are available, Stripe may process payment information on our behalf.

These third-party providers may process information required to perform their services. Their handling of information may also be governed by their own privacy policies, terms and infrastructure.

TennisMate's primary Firestore production database is hosted in Australia.

TennisMate does not currently provide personnel located outside Australia with access to identifiable production user information.

Some of the third-party providers used by TennisMate are global organisations. Depending on the provider and service being used, information may be processed or handled through infrastructure located outside Australia.

The locations used by third-party providers may vary based on their infrastructure and service arrangements.

We generally retain personal information for as long as your TennisMate account remains active or for as long as reasonably necessary to provide the service.

Chat messages and other account-related information may be retained while your account is active.

If you delete your TennisMate account or request deletion through TennisMate support, personal information retained by TennisMate in connection with your account is deleted or anonymised.

Information that has been aggregated or anonymised may continue to be retained where it no longer identifies you.

Information processed independently by third-party providers may also be subject to their own retention requirements.

You can initiate deletion of your TennisMate account through the account deletion functionality available within the TennisMate application.

When an account is deleted, information held by TennisMate in connection with the account is deleted or anonymised.

TennisMate uses technical and organisational safeguards designed to protect the information we hold.

These measures include the use of authentication systems, access controls, application security controls, security rules and reputable cloud infrastructure.

Access to production systems and identifiable user information is restricted to authorised persons who require access to operate or maintain TennisMate.

However, no internet-based service, application or electronic storage system can guarantee absolute security.

Users should also take reasonable steps to protect their TennisMate account, including protecting their password and account access.

Depending on the information involved, you may:

• view or update your profile information within TennisMate;
• request correction of inaccurate personal information;
• delete your TennisMate account;
• request assistance with deletion through TennisMate Support;
• disable push notifications through your device settings;
• contact us to ask what information we hold about you;
• raise a concern about how your information has been handled; or
• ask questions about this Privacy Policy.

TennisMate is intended for individuals aged 18 years and over.

People under the age of 18 are not permitted to create or use a TennisMate account.

We do not knowingly provide TennisMate accounts to people under 18.

If we become aware that an account belongs to a person under 18, we may suspend or delete the account and remove or anonymise associated personal information.

We may disclose information where reasonably necessary to:

• comply with applicable laws, court orders or lawful requests;
• protect the rights, safety or security of TennisMate, our users or others;
• investigate fraud, abuse, threats or misuse of the service; or
• enforce applicable TennisMate terms and policies.

We will only disclose information in these circumstances where we reasonably consider the disclosure necessary or required.

We may update this Privacy Policy from time to time to reflect:

• changes to TennisMate features;
• changes to the way we handle information;
• changes to third-party services; or

The current version of this policy will be published on the TennisMate website with its updated effective date.
